What to prepare

For the workflow this product is designed around, gather:

  • Property and tenant references
  • Rent periods, charges and any opening balances
  • Individual payment dates, amounts and references

A practical way to use your records

Keep each received payment identifiable, including installments received for the same rent period. Review the ledger against your payment records and explain adjustments separately. Use consistent property and tenant references so a balance can be traced to its entries.

A worked example

Fictional example: a landlord preserves two partial rent payments while checking a tenant's remaining balance.

Tenant and rent month
Fictional Unit B02, one recorded month
Monthly rent in lease record
$1,200
Payments received
$700 followed by $400, each with its own date and reference
  1. Set the monthly rent in the lease record, then log both receipts separately in Rent Log against the same tenant and rent month.
  2. Check the receipt dates and amounts against payment evidence before reviewing paid and still-owed figures for that month.

Result: The two payments total $1,100, leaving $100 of the stated $1,200 rent unpaid. Recording the second receipt should not replace the first. This example excludes earlier balances, deposits and other charges so the month comparison remains clear.

Fictional figures explain the workflow; they do not represent customer results or guarantee particular template fields. See the included features above and the current Etsy listing.
